This Privacy Policy explains how 926 Gothic Road LLC, doing business as Solstice ("Solstice," "we," "us," or "our"), collects, uses, and shares information about you when you visit www.solsticecb.com (the "Site"), submit an inquiry or booking request, or stay at our property in Crested Butte, Colorado (the "Property").
By using the Site, you agree to this Privacy Policy. If you do not agree, please do not use the Site.
1. Information We Collect
1.1 Information you give us
We collect information you provide directly, most often through our contact form or booking request form.
This may include:
- your first and last name
- your email address and phone number
- requested check-in and check-out dates, number of guests, and room or unit preference
- the content of any message, question, or special request you send us
- information you share by email, text, or phone in the course of planning or completing a stay
- where we ask for it, a government-issued photo ID for the reserving guest, which we use only to verify identity and age before releasing access instructions
- for confirmed reservations, the reserving guest's name and the total number of people in the party, billing address, and payment card information (processed by our payment provider, described in Section 4); we do not require the names of the other members of your party

When you visit the Site, our website platform and analytics providers may automatically collect technical information, including your IP address, browser type and version, device type, operating system, referring URL, pages viewed, the dates and times of your visits, approximate location derived from your IP address, and your language preference.
1.3 Information from booking platforms and other sources
If you book the Property through a third-party platform such as Airbnb or Vrbo, that platform collects your information under its own privacy policy and shares a limited set of it with us, typically your name, the messaging thread, reservation dates, guest count, and a platform-masked email address or phone number. We receive that information as the host and use it to prepare for and support your stay. We do not receive your full payment card details from these platforms.
We may also receive information from property management software, guest screening or e-signature services, and our channel manager, to the extent we use them to administer reservations.
1.4 Sensitive information
We do not collect health information or financial account numbers, and we do not ask for sensitive personal information through the Site's contact or booking forms. As noted in Section 1.1, we may ask to see a government-issued photo ID to verify the reserving guest's identity and age, and we use it only for that purpose. Please do not include such information in a contact or booking form message.
2. How We Use Information
We use the information we collect to:
- respond to your inquiries and provide the information you request
- evaluate, confirm, and administer reservations, including sending confirmations, rental agreements, arrival instructions, and access codes
- verify the identity and age of the reserving guest; process payments, refunds, taxes, and applicable fees; and place, convert, and release the credit card preauthorization hold described in your Rental Agreement
- communicate with you before, during, and after your stay about your reservation and the Property
- maintain and improve the Site, our listings, and our guest experience
- detect, prevent, and address fraud, property damage, misuse of the Property, and violations of our Terms and Conditions
- comply with legal obligations, including short-term rental licensing, lodging tax reporting, and record- keeping requirements applicable in Gunnison County and Mount Crested Butte
- send you occasional updates, availability notices, or offers, where you have asked to receive them or where otherwise permitted by law (you can opt out at any time)
3. Cookies and Similar Technologies
The Site uses cookies and similar technologies to keep the Site functioning, remember your language and form entries, understand how visitors use the Site, and measure the performance of our marketing. Some cookies are set by us and some by third parties, including our website platform, our booking and availability tools, analytics providers, and embedded social media or video content.
Most browsers let you block or delete cookies through their settings. If you block cookies, some parts of the Site, including availability search and form submission, may not work as intended. Where required by law, we present a cookie notice or consent tool when you first visit the Site.
We do not currently respond to browser "Do Not Track" signals, as no common standard has been adopted. Where required, we honor recognized universal opt-out mechanisms such as Global Privacy Control for the sale or sharing of personal information, though as noted in Section 5 we do not sell personal information.
4. How We Share Information
We share information only as described below. We do not sell your personal information.
- Service providers: who host the Site, host our forms, provide analytics, deliver email, manage reservations and calendars, and provide guest messaging.
- Payment processors: Card and bank payments are handled by third-party payment processors. We do not store full payment card numbers on our systems. Your payment information is subject to the processor's privacy policy.
- Booking platforms: If your reservation originates on Airbnb, Vrbo, or a similar platform, information flows between us and that platform as necessary to administer the booking.
- Property vendors: cleaners, maintenance and repair vendors, snow removal, and local guest support, who receive only what they need (for example, arrival and departure dates and a guest count).
- Legal and regulatory: We may disclose information when required by law, subpoena, or governmental request, including short-term rental and lodging tax compliance, or where necessary to establish or defend legal claims.
- Business transfers: If the Property or our business is sold, financed, or reorganized, guest and inquiry records may transfer as part of that transaction.
- With your consent: We may share information for any other purpose disclosed to you at the time you provide it, or with your consent.
5. Sale and Sharing of Personal Information
We do not sell personal information for money, and we do not share personal information for cross-context behavioral advertising as those terms are defined under the California Consumer Privacy Act or the Colorado Privacy Act. We do not knowingly sell or share the personal information of anyone under 16.
6. Data Retention
We keep inquiry and booking information for as long as needed for the purposes described in this Policy. Reservation, payment, and tax records are generally retained for at least the period required by applicable tax and licensing rules. A payment card provided for a reservation is retained by our payment processor for the duration of the stay and for 60 days afterward, so that any charge you authorized in your Rental Agreement can be applied; we do not store full card numbers on our own systems. Inquiries that do not result in a booking are retained for a reasonable period for follow-up and then deleted or archived. You may ask us to delete your information as described in Section 8.
7. Security
We use reasonable administrative and technical safeguards to protect the information we hold, including encrypted transmission of Site forms and limited internal access to guest records. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. Please do not send payment card numbers or other sensitive details by email or text message.
8. Your Choices and Privacy Rights
You can always email us at info@solsticecb.com to ask what information we hold about you, to correct it, or to ask us to delete it. You can unsubscribe from marketing email using the link in any such message, or by replying and asking us to stop. We will still send you messages necessary to administer a reservation you have made.
8.1 Colorado residents
Under the Colorado Privacy Act, Colorado residents have the right to confirm whether we process their personal data and to access it, to correct inaccuracies, to delete it, to obtain a portable copy, and to opt out of targeted advertising, the sale of personal data, and certain profiling. To exercise these rights, email info@solsticecb.com with the subject line "Colorado Privacy Request." We will respond within the time required by law, and you may appeal a denial by replying to our response with the subject line "Privacy Appeal."
8.2 California residents
Under the California Consumer Privacy Act, as amended, California residents have the right to know the categories and specific pieces of personal information we have collected, the sources of that information, our purposes for collecting it, and the categories of third parties with whom we share it; the right to request deletion; the right to correct inaccurate information; the right to opt out of sale or sharing (we do not sell or share, as described in Section 5); and the right not to be discriminated against for exercising these rights. To submit a request, email info@solsticecb.com with the subject line "California Privacy Request." We may need to verify your identity before responding, and you may use an authorized agent.
8.3 Other U.S. state residents
Residents of other states with comprehensive privacy laws may have similar rights of access, correction,deletion, portability, and opt-out. We honor those requests on the same basis. Email info@solsticecb.com to submit a request.
8.4 Visitors from the European Economic Area, the United Kingdom, and Switzerland
If you are located in the EEA, the UK, or Switzerland, we process your personal data on the following legal bases: performance of a contract, where processing is necessary to arrange or deliver your stay; our legitimate interests in operating and improving the Site, marketing our property responsibly, and preventing fraud or property damage; your consent, for non-essential cookies and marketing email; and compliance with legal obligations, including tax and licensing requirements.
You have the right to access, correct, delete, restrict, or object to our processing of your personal data, the right to data portability, and the right to withdraw consent at any time. You may also lodge a complaint with your local supervisory authority. Please note that our Property and our records are located in the United States, so using the Site or booking a stay involves transferring your information to the United States, which may not offer the same level of data protection as your home jurisdiction.
9. Children
The Site is intended for adults. We do not knowingly collect personal information from children under 13, and reservations may only be made by adults. If you believe a child has provided us information, email info@solsticecb.com and we will delete it.
10. Third-Party Sites and Recommendations
The Site links to third-party websites and services, including booking platforms, social media, and local businesses, trails, and restaurants we recommend. We do not control those sites and are not responsible for their content or privacy practices. Review their policies before providing information to them.
11. On-Site Technology at the Property
The Property uses a smart lock or keypad entry system, a monitored security and alarm system, a smart thermostat, and two exterior-facing security cameras, one with a view of the driveway and one with a view of the front door. The cameras record video and are capable of capturing audio at those exterior locations. There are no cameras, microphones, or other recording devices inside the home, and no camera is directed at any interior space. Exterior camera recording, including its audio capability, is disclosed in your Rental Agreement and in our listings, and the reserving guest agrees to inform everyone in the party, and any visitor, of it. We access camera footage only for security, property protection, and the investigation of an incident, claim, or suspected violation of the house rules, and we share it only with our property manager, our insurer, or law enforcement, or where required by law.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and post the new version on the Site. Material changes will be highlighted on the Site or communicated to you where required by law. Your continued use of the Site after an update means you accept the revised Policy.
